Age Up Date: Age on June 1, 2022 will determine the age for the meet. A swimmer is allowed to swim in any age group older than their age, but they may not compete in a younger age bracket. If a swimmer swims “up” in an event, they may not swim in the same event in their own age group.
Swimmers may only wear swim caps that are associated with their team or plain. No VAST or college caps allowed.
Meet Format: The meet will be divided into two sessions, morning and afternoon. With the exception of the graduated relays, swimmers 10 and under will swim in the morning. Swimmers 11 & up will swim in the afternoon. Graduated relays (event #1 and event #2) will start the afternoon session. Therefore, any 10 and under swimmer in a graduated relay will have to stay for this part of the afternoon session. All events, both individual and relay, will be times finals only, and will be pre-seeded.
General Meet Information
Only coaches, officials, workers, and swimmers (when scheduled to swim) are allowed on the pool deck during the meet. Parents, visitors, and swimmers may view the meet from the spectator viewing area on the second floor across from the gym.
- All teams will “camp” in their designated area of the gym assigned by the host team. No food may be brought to the pool deck. Please obey any postings where food and drink will not be permitted that day. Food may only be consumed in the upstairs hallway. No food/drink is allowed inside the gymnasium area. All swimmers and spectators are to stay in or near the pool and gym areas. Signs will be posted indicating any “off-limits” areas. The Clerk of Course will be on the pool deck, with a staging area in the downstairs hallway, outside the pool deck. Swimmers will be responsible for being at the Clerk of Course in time for his/her event. There will be two calls for each event. Announcements will be made in the gym and on the pool deck. We suggest that each team always have parents in the gym to oversee their respective teams while other parents are working. Parking will be available in the parking lot surrounding Godwin Hall, P lot across from Godwin (on I-81 side), and the stadium parking. Please have workers sign in at the volunteer sign-in table in the hallway outside the pool entrance on the ground floor before their session and pick up their work badges. Commonwealth Promotional will be providing T-shirts via preorder and will be given to teams prior to Champs, unless other arrangements have been made. Stroke and turn judges should bring their own clipboards. Stroke and turn judges must be present at the review meeting prior to each session or they will not be allowed to work (this includes relief judges). Judges should also wear navy shorts, a skirt, skort, or slacks, and a white top. For health and safety purposes, any swimmer with an open/bleeding wound will not be allowed in the water unless the wound is covered with a waterproof bandage or the bleeding has stopped. Please encourage your younger swimmers to use the restroom prior to their events.
Ribbons are provided to those that place 1-8th.

We are gearing up for another meet and again, it is home. It will be against ERRA, which is a bigger team than us, so it will be crowded at the pool. The meet will be at Broadway beginning at 6PM. Swimmers please arrive at 5PM and meet in the grassy area outside the pool for stretching. Swimmers will not be allowed in the pool area until at least 5:10PM. Parents are asked to stay in the grassy area outside the pool or near their vehicles until 5:30PM, unless you are helping to set up for the meet. Our team will warm up from 5:00 – 5:25PM. ERRA will begin warm ups at 5:25 and I have sent an email letting them know that parents will not be allowed in the pool area until 5:30PM.
- It is very important that we have ALL volunteer positions filled prior to the meet so we are not seeking volunteers and providing instructions more than once. As mentioned before, swim meets are no joke and they DO NOT happen without volunteers.
- It is VERY important to put your swimmer(s) three digit number on their body with a sharpie that is easily read and seen. From now on, please place a “B” prior to the number.
- Remind your swimmer(s) to stay in the pool until all swimmers are done. Good sportsmanship is something Broadway strives for.

Swimmers will not be allowed in the pool area until at least 5:10PM. Parents are asked to stay in the grassy area outside the pool or near their vehicles until 5:30PM, unless you are helping to set up for the meet. Our team will warm up from 5:00 – 5:25PM. Massanutten will begin warm ups at 5:25 and I have sent an email letting them know that parents will not be allowed in the pool area until 5:30PM.
- Please do not block the entrance way to the pool. Parents, unless volunteering to help set up for the meet, will not be allowed into the pool area until 5:30PM. Please note that we will be setting up the deck a little differently for this meet, so we want to have areas blocked off before parents enter.
- It is VERY important to put your swimmer(s) three digit number on their body with a sharpie that is easily read and seen. From now on, please place a “B” prior to the number. Make sure it is legible as it is how their time gets recorded.
- Make sure you and your swimmer know which events they are swimming. Clerk of Course will assist them getting in the right lane and heat. However, the swimmer knowing that information helps too.
- Remind your swimmer(s) to stay in the pool until all swimmers are done. Good sportsmanship is something Broadway strives for.
If you bring and set up a tent tonight, it needs to be secured to the ground.
We are trying something new this meet, we will have the scoring tent and starter where it is highlighting pink below. The clerk of course will be where the scoring tent used to be. Parents you may set up in the deep end if you wish and around the scoring tent, but please make sure to leave a path for swimmers to get to the clerk of course.

We just got word that JMU has postponed their renovations to Godwin. This allows us to have Champs there again this year. This is great news as we now don’t have to worry about the weather as we will be indoors. Please note, to participate in Champs, your swimmer must compete in at least two (2) regular season swim meets.

Good afternoon,
I wanted to take a moment to follow up with everyone after last night. I apologize about the picture information that I had sent out. The photographer changed directions on me and I just rolled with it.
Follow up to the Mock Meets –
First of all…were there mistakes, yes. Is it okay, yes. A big part of having the Mock Meet is to get those mistakes out of the way prior to real meets. Have swimmers/coaches/parents learn the process and get jitters out of the way. We are lucky that our next meet is away to get the full experience as visitors and not the home team. It also gets new swimmers times within the system to assist with placing them in the right heat within the events so they are racing other swimmers around the same level.
- It is very important that we have ALL volunteer positions filled prior to the meet so we are not seeking volunteers and providing instructions more than once. As mentioned before, swim meets are no joke and they DO NOT happen without volunteers. A big shout out to all those that stepped up last night to help and make the meet happen. Last night we didn’t even have all the volunteer positions posted. For the next meet (which will be held at Spotswood beginning at 6PM) we need a total of 26 volunteers – please sign up NOW. Some things to know about Spotswood – it is a tight pool area and parking is limited. Please try to reduce the number of vehicles you take to the meet and there is no room for tents. There will be a lot of people as we both have a large team. We will share more information about arrival time, etc prior to Tuesday. Don’t forget that there is Stroke and Turn Judge training tonight at JMU from 6:30-8pm in Godwin Hall, 344.
Also, don’t forget today is the last day for your swimmer(s) to vote for their favorite t-shirt design. 2022 Annual Broadway Sharks T-Shirt Design – Google Forms We have had 80 out of 165 swimmers vote.
For the home meet in two weeks we will be having a concession stand. I need two volunteers to help get logistics together this coming week. PLEASE let me know if you can assist with this. It is behind the scenes work.

It is here!
Before you come –
1. SwimminglyFan has been updated – this is how you find out what your swimmer is swimming. Select the SwimminglyFan App; Select Meets; Select Mock Meet 1 and then Mock Meet 2 (more information about that below); select my swimmers and you will see what event, heat, and lane number they will be in. Also, you will see their three digit code – remember to put that on their hand, wrist, or arm so they can show the timer after the race.
- The EVENT – is the main number. HEAT – is within that main event number (heats are based on the number of swimmers in that particular event). LANE is which lane your swimmer will swim in.
2. Make sure to pack/bring the following –
- Swimsuit, goggles, swimcap, towel(extra towel), water, and sharpie
- Chairs, blankets, snacks, water, etc. (on real meet nights there will be a concession stand). Please leave your tents at home during this meet as it will be shorter than a regular meet and there will be more chaos due to the first timers and pictures.
Tonight –
- Arrive at 6:45 and line up shortest to tallest outside the gate with your bathing suit on (goggles and swim caps are not needed at this time). Team pictures will be at 7PM
- Make sure you have exact change and your order form ready to go. If you are getting a sibling picture – only one form is needed. I will have some available beginning at 6:45
- Parents stay outside the gates until instructed to come in. Please stay in the grassy area and not block the entrance gates.
- If getting individual pictures when your child comes out from the team picture please line up on the sidewalk (little sharks first) – you will be informed when to enter the pool.
- If you have volunteered for the meet (WE NEED MORE VOLUNTEERS), once you get into the pool area (approximately 7:10PM), please report to the scoretable – please stay clear of where Christa Gitchell is taking pictures
- After pictures – write your swimmers three digit code on them!!! A lot of swimmers also mark their events, heats, lanes on their bodies
Mock Meet Information –
- Due to the length of the Mock Meet (it is only 12 events) we will be doing two tonight. The first meet will be using all the volunteers that signed up to do the “first half”. The Mock Meet will be all swimmers swimming freestyle.
- We will be having a Mock Meet 2 directly after that (those will be the volunteers that signed up for the “second half”. This meet will again have all the 10 and unders swim freestyle and 11 & up swimming backstroke.
- We hope all the swimmers participate in both of them to assist with nerves and understanding of the process.
- We hope to begin the Mock Meet no later than 7:45PM; we should be done no later than 9PM.
- We have Clerk of Courses which help the swimmers get to where they need to go. Family/friends – you will have to pay attention to know when to send your swimmer(s) over. We do have a flipchart that will help you know when to send them.
There is a lot of movement happening tomorrow night, so please be patient. We are going to try and make the meet as realistic as possible to assist those newer swimmers/families understand the process of organized chaos.

Good evening,
Prior to tomorrow
We are still in need of some parents to make their declaration on their swimmer(s) as well as making sure their swimmer(s) are registered in Swimmingly.
If your family has decided not to participate in swimming, please let us know so we can remove your information. We have to pay a fee per swimmer and submit numbers to insurance – so this is important.
If your swimmer(s) are not swimming in the meet, you need to go in and enter “no”. Marissa has been emailing, texting, and calling families, but still waiting on several to do so. To make the declaration use the Swimmingly Clubhouse (Swimmingly ™). If you have a desktop, it is easier to do it. The SwimminglyFan will be where your swimmer(s) results will appear tomorrow night.
We still need volunteers!!! This is a great way to learn. You can be a timer, if you are able to order anything on a touchscreen. If you are planning to do the Stroke and Turn training, please sign up to be a Stroke & Turn Judge tomorrow. A great time to practice for all positions! Shortest volunteer night of the season. Thursday Night
Please arrive outside the gates of the pool beginning at 6:45PM with their bathing suits on. We will have someone organizing the kids shortest to tallest to then walk them in for the team picture which will occur no later than 7PM. At this time only swimmers are allowed within the gates. Parents will not be allowed in the gated area until at least 7:10PM unless they are within the gates with their child for individual pictures. After the team picture we will have all the swimmers exit the pool area. For those that want individual pictures, please line up outside the fence area (little sharks getting pictures first) and we will escort a few families in at a time until the pool is closed. Please make sure you have your order forms ready to go with exact payment. Not using credit cards will assist the process move faster.
After pictures, make sure your swimmer(s) has a three digit code (found in swimminglyFan app – next to your swimmers name. Example BWAY 371) be written on your child’s body (arm/hand) where they can easily show it to a timer after they swim. Get used to sharpie drawings on your child(ren)…it is a BIG part of swimming. Some kids get very creative on meet nights.
We hope to begin the Mock Meet no later than 7:45. There is a lot of movement happening tomorrow night, so please be patient. We are going to try and make the meet as realistic as possible to assist those newer swimmers/families understand the process of organized chaos.
I will be at both practices tonight if you have questions. This Mock Meet is to help everyone get ready for how the process will work. For next Tuesday’s meet we are looking to have declarations due by Friday night, so be watching for communications of when that opens. We are waiting on Spotswood.

We are entering our second week of the 2022 season. This week there are a lot of to-dos for parents.
Items due by Tuesday, June 14
1. Payment for your swimmer(s). We have to have final numbers for insurance purposes. If your swimmer(s) have decided not to swim, please respond to this email ASAP.
2. As mentioned before, swim meets take a lot of volunteers. Please sign up today! We are asking all swimmers to arrive at the pool at 7:10PM. We will begin practice by taking the team picture. We will then begin with little sharks followed by big sharks. While big sharks take their pictures, little sharks will warm up. We are hoping to get the meet underway by 7:45PM. All volunteers, please stay at the pool so we can get everything set up ready to go!
