Make Up Meet With Spotswood

We will not be making up the meet against Spotswood as the majority of their families were not interested in having two meets in one week.

Reminder to Volunteer – Check Your Status

Here are the current volunteer stats as of this past weekend. Swim is unlike any other sport—it truly takes a full team effort to make the season happen. If your total is “0” or “1”, please consider signing up for one of the remaining two volunteer opportunities. If your swimmer(s) are participating in CHAMPS and all volunteer slots are not filled, we will hold a drawing—just like we did last year—to assign the remaining roles to families with swimmers in the meet.

Fundraisers

As you know, we weren’t able to run one of our usual concession stands this season, which typically brings in around $1,000 to support the team. To help make up for that loss, please be sure to sell and turn in your duck fundraiser entries—we still have 8 ducks to sell!

Another great fundraising opportunity is helping at the Rockingham County Fair! In past years, some families have raised over $1,000 by working shifts at the Broadway-Timberville Ruritans’ food booth.

To help us earn a donation for the time we contribute, please add (SH) next to your name when signing up. Food Booth Sign Good news for returning helpers—they’ve resolved the issue from last year, so it shouldn’t be nearly as hot this time around!

Mark your calendars – Sunday, August 17 – End of the Year Awards/Pool Party

Meet Status & Details for This Week (3980 Massanutten Drive, Massanutten)

Due to the forecast, Massanutten said they would notify us by 4:00 PM if the meet will be cancelled. If no update is provided, please assume the meet is still on as scheduled. If Tuesday’s meet is postponed, it will be rescheduled for Thursday evening.

  • Swimmer Check-In with Kelly Hill: by 5:15 PM
  • Warm-Ups Begin: 5:25 PM
  • Concessions: Cash or Venmo accepted (pizza, chips, sno-cones, fruit, drinks, etc.)

Please note: Massanutten has a small pool deck. Leave tents at home, and be aware that personal chair space is very limited. Some seating will be available around the deck.

Possible Make-Up Meet vs. Spotswood

Please take a moment to complete the survey to help us determine if we’ll have enough swimmers and volunteers available for a potential home make-up meet against Spotswood. The decision will depend on weather conditions, postponements, and swim meet schedules over the next two weeks. We are looking at either Wednesday, July 16, or Thursday, July 17.

Reminder to Volunteer – Check Your Status

Here are the current volunteer stats through this past weekend. If your family has not yet fulfilled the minimum of three volunteer shifts for the season, please sign up to help at an upcoming meet. Your support is essential and greatly appreciated!

Good morning!

Just a quick reminder to declare your swimmer(s) by 2:00 PM today for our home meet against Westover on Tuesday, June 24, 2025.

Volunteers Needed
Home meets require over 50 volunteers from our team—and we still have several open spots to fill. Please take a moment to check the sign-up and see where you can help. Swim Meets: June 24, 2025 Swim Meet – Home vs. Westover

We know it’s going to be hot! We’re planning ahead with tents and fans for volunteers, and snacks and drinks will be delivered to you throughout the meet to help you stay cool and comfortable.

Concessions
One of our biggest fundraisers during the season is our home meet concessions. Since we only have two home meets, we’re also running the Duck Races this year to help raise additional funds! Concessions Donations: Sharks Concessions – June 24, 2025

If you signed up to donate hot dogs or chicken, we’ll be in touch to coordinate preparation. For items that may melt or get soggy in the heat, please reach out to arrange a drop-off or pick-up time.

Concessions will be CASH ONLY

  • Chicken BBQ meal (with bun or cornbread, 2 sides, and soda or water): $10
  • Hotdog meal (with 2 sides, and soda or water): $8
  • Sides: Chips, mac & cheese, or baked beans
  • Plus: Water, soda, Gatorade, Ice Pops, and more!

Good morning,

Thank you all again for a fantastic evening! As I mentioned on the Remind app, this was the smoothest Mock Meet I’ve ever experienced—thanks to the incredible support of our volunteers, parents, coaches, and swimmers. It was heartwarming to see veteran families guide new ones in volunteer roles and to hear swimmers cheering each other on.

Annual Team T-Shirt Design Contest – Entries Due Thursday, June 12
We’ve received five entries so far and are hoping for more! Each year, swimmers design and vote on the official team shirt.

  • Use plain 8.5″ x 11″ paper (no lined paper)
  • Limit designs to two colors or fewer
  • Both hand-drawn and digital submissions are welcome
  • Send designs to: bwaysharks@gmail.com

Meet Declarations – Due by 2 PM Saturday
Don’t forget to declare your swimmer(s) for Tuesday night’s meet by 2:00 PM this Saturday.

Tuesday Night Meet – June 17 at Ashby

We’ll be visiting Ashby for our first official meet. I’ll share full details in the Sunday evening email once I receive them, but for now, please plan for:

  • Arrival and check-in by 5:20 PM
  • Warm-ups starting at 5:25 PM (most likely)

Thanks again for your continued support—we couldn’t do it without you! Go Sharks! 🦈

*Risers

We need one more truck with a long bed to help transport risers from the elementary school to the pool for team pictures. We also need one extra set of hands to assist with the move. If you’re available to help, please text 540-908-0624. Thank you!

**Team/Individual Pictures

Please arrive outside the pool gates starting at 6:45 PM with your swimmer already in their suit. We’ll have someone on-site organizing the kids from shortest to tallest before they head in for the team picture, which will be taken no later than 7:00 PM.

An email with more details was sent earlier today—please check your inbox!

***Mock Meet

We plan to start the Mock Meet no later than 7:30 PM. There will be a lot of movement and setup happening beforehand, so please be patient. Our goal is to make this meet feel as realistic as possible to help newer swimmers and families better understand the flow and organized chaos of a typical swim meet. This is also a great opportunity for volunteers to work out any kinks.

Arrival & Setup Instructions:

  • Only setup volunteers, Board Members may enter the gates at 6:20 PM
  • All other families should wait outside the gate until 7:20 PM to help reduce congestion during setup.

Before the Meet:

  • Swimmers should arrive with their three-digit swimmer number written on their arm in Sharpie. They’ll need to show it to the timers after each event.
  • You’ll be receiving an email with your swimmer’s Event Number, Heat, and Lane Assignment. We recommend drawing a small table on their arm and filling in that info—it helps them and the volunteers!
  • Sharpie is part of the sport—and the kids love it!

What to Bring:

  • Extra towels
  • Swim caps (still available for purchase at the meet — $10 each)
  • Snacks, as there will not be concessions at this meet.

Event Schedule:
Here is the link to the list of events in the order they’ll occur. Note: We will not be doing relays during the Mock Meet.

****Annual Team T-shirt Design Entries

We have had three entries to date, hoping for more! Each year, swimmers design and vote on the official team shirt!

  • Use plain 8.5″ x 11″ paper (no lined paper).
  • Designs must be two colors or fewer.
  • Digital or hand-drawn designs are welcome!
  • Submit to bwaysharks@gmail.com by Thursday, June 12.

Let’s have a great week, and thank you for helping make this a smooth kickoff to the season!

Erica Kann, President
Broadway Sharks Swim Team

We currently have 63 swimmers who have not declared for the upcoming Mock Meet.

Please take a moment to indicate whether your child(ren) will or will not be participating. This is essential for us to prepare accurate heat sheets.

Deadline to declare is tomorrow at 2:00 PM.

You should have received an email from Swimmingly with instructions on how to complete the declaration process.

For this Mock Meet (scheduled for next Tuesday), swimmers may sign up for up to three individual events. Please note: no relays will be included in this meet.

Thank you for your prompt attention to this!

It was wonderful to see so many swimmers at practice last night—especially watching them reconnect after time apart and catch up with friends from different schools. One thing I forgot to mention in previous emails: please be sure to clean up after yourself and return any chairs to their original spot before you leave. Thank you to all the parents who assisted in resetting the space before we closed up for the night.

Declaration of Swimmer(s) – Mock Meet

You should have received an email from Swimmingly about the process of how to declare your swimmer for the Mock Meet next Tuesday. You must take action if your child(ren) will or will not be participating. Typically, swimmers are allowed to participate in up to three individual events and two relays, but for this event, each swimmer will select up to three individual events. No relays will take place during this meet.

WHY a MOCK MEET?

This meet is a great way for swimmers to enter their first meet feeling more comfortable and having entry times for the meets. Having times entering meets is helpful to ensure your swimmer(s) are seeded correctly. If you are unsure what to select, you are welcome to ask the coaches. Declarations are due by 2 PM on Saturday, June 7.

We’re still looking for additional volunteers—and this is a fantastic opportunity to learn the different roles before our first official meet!

Join us this Thursday for a parent meeting, where we’ll also have stations set up to help you get familiar with the volunteer positions, ensure you’ve downloaded the necessary apps to track your swimmer’s results, and sign up to help during meets.

The Mock Meet will begin as close to 7:20 PM as possible. Please have swimmers arrive by 7:10 PM to begin warm-ups.

SHARPIES!

Sharpies and swim meets go together like peanut butter and jelly! For each meet, swimmers will need to write their swimmer number on their body. It’s also helpful to include their event numbers, heats, and lanes.

We’ll share more details soon, but I wanted to give our new swim families a heads-up so you’re ready!

If you’ve signed up to help with setup, we’ll have access to the pool starting at 6:20 PM. Please remind family members that guests will not be allowed in the pool area until the main gates officially open. It’s much easier to complete setup without extra people in the space—this will also be the procedure during home meets.

Good Evening, Sharks Families!

It’s here—the season will kick off tomorrow! Let the organized chaos begin! If you’re new to swim team life, you’ll soon see why we call it that. There’s a lot happening: schedules, updates, events, and more. But don’t worry—we’ve got you covered!

The Broadway Sharks are unable to accept credit card payments for on-site purchases. We gladly accept cash or checks

Important Reminders to Kick Off the Season

Board Members

Our board is made up of dedicated volunteers who also work full-time and have kids in the pool, just like you. We appreciate your kindness and patience as they work hard behind the scenes to make this season great! Interested in becoming a board member? Reach out! We try and set up under the covering next to the garage so that we are easy to find.

Broadway Pool

We are guests at the Broadway Pool, and it’s important that we all respect the space and staff. Please be especially mindful of pool rules—no dogs are allowed within the gates.

Swim Practices

The first week can feel a bit hectic—especially with only evening practices before school ends and vacations begin. During this time, coaches will assess each swimmer to place them in the appropriate lane based on their skill and endurance.

A few key things to know:

  • Use the side gate, entrance near the playground when entering for practices and meets
  • There is no required number of practices to participate in meets.
  • However, the more your swimmer practices, the stronger and faster they’ll become!
  • No practices are held on Friday nights.
  • Swimmers may not enter the pool before 7:20 PM, unless otherwise noted.
  • Bookmark our calendar for schedules and updates: www.bwaysharks.com

Swim Meets

Swimmers are not required to attend every meet, but to be eligible for CHAMPS, they must participate in at least two regular swim meets (Mock Meet doesn’t count) this season. The Mock Meet is used to get swimmers comfortable for the upcoming meets, as well as a time, so they are seeded properly.

Optional Purchases

Keep an eye on your inbox! You’ll soon receive emails about the following items that are optional to purchase for your swimmer(s)/family members.

Swim Caps

We’ll have Broadway logo swim caps available for $10 each.

If you prefer to purchase your own cap, please make sure it’s solid green or black to match the team colors.

Shark Gear

Gear will be ordered directly through SwimOutlet. Once you register for the 2025 season, you will receive an email on how to log in as a member for the best experience.

Annual T-Shirts

Each year, swimmers design and vote on the official team shirt!

  • Use plain 8.5″ x 11″ paper (no lined paper).
  • Designs must be two colors or fewer.
  • Digital or hand-drawn designs are welcome!
  • Submit to bwaysharks@gmail.com by Thursday, June.
  • The voting deadline for swimmers is June 16.
  • Orders are due by June 20.

Equipment

  • Pull Buoy – We have several available, but if you want one for your swimmer to take home and practice with, you can purchase your own
  • Fins – We have several available, but if you want to purchase your own to ensure your swimmer has their size, you can purchase your own

CHAMPS Ads

Want to give your swimmer(s) or your company a shout-out? Purchase an ad in the CHAMPS booklet! Prices range from $25 (quarter page) to $100 (full page).

Request for iPhones Compatible with iOS 16 or Higher

The system we use to run swim meets only works with iOS version 16 or later. Previously, we had loaner phones available for volunteers who didn’t have compatible devices, but those are no longer supported.

We’re now looking for older iPhones that support iOS 16 or higher and might be sitting unused in your drawer. These phones will help our team by serving as backups for timers and stroke & turn judges.

If you have a device you’re willing to donate or lend, please email us at bwaysharks@gmail.com. Thank you for supporting the team!

Volunteering

Huge thanks to those who’ve already signed up! If you haven’t yet, remember: each family is expected to volunteer at least twice this summer. It takes a team to make everything run smoothly!

Good evening,

This is the beginning of many Sunday evening emails as we are gearing up for the season! I will continue sending emails to the 2025 and 2024 rosters until sign-ups conclude, so everyone is getting the same information.

PRACTICE UPDATES

Morning practices will not begin until Monday, June 9, 2025

VOLUNTEERS

It is great to be where we are with volunteer signups! Thank you!

Those new to swim team will see volunteer spots named Events 1-30 and then 31-End. We divide volunteer roles midway through each meet. You can refer to the order of events here for more details. The number of heats per event can vary depending on the size of the team we’re competing against, as some teams are smaller than others.

Swim meets begin at 6:00 PM and must conclude by 10:00 PM. That said, over the past few seasons, we’ve typically wrapped up and cleared out by around 9:15 PM.

EQUIPMENT/TEAM GEAR

We don’t require the purchase of equipment, team bathing suits, etc. However, here are some guidelines/suggestions on things you should have.

  • Meet Bathing Suits: Must be one piece. Our colors are green and black, so I encourage swimmers to have those colors on their bathing suits. They can be either all green, all black, or a mix.
  • Practice Bathing Suits: Must be one piece.
  • Swim Caps: Team swim caps will be on sale for $10 at the beginning of the season.
  • Shark Gear: When you sign up, you will get an email with more information. However, in summary, instead of ordering gear from board members, orders/payments will be placed directly with Swimoutlet. 5% of sales come back to our team.
  • Googles: You can purchase any that work for your swimmer(s), we just ask that they only cover their eyes.
  • Fins: Fridays are known as ‘Fin Fridays,’ when swimmers practice using fins. While our team has a good supply available, we can’t guarantee we will have a pair of your swimmer’s size.

GRADUATING SENIOR?

If you will be graduating from High School this June, please respond to this email as VSL has a scholarship opportunity.

STROKE & TURN JUDGE TRAINING

We can’t compete in meets without certified Stroke & Turn officials. This is a great way to get involved and enjoy the best view of the action! No registration needed, and it’s free to attend!

May 29 | 6-7 PM | James Madison University, Hartman Hall, Room 1000

Stroke & Turn IN-PERSON (Highly recommended for new judges)

Parking is available right across from Hartman Hall in the P lot. Enter through the main doors, turn left when you arrive in the lobby, and the room will be in the back left corner.
